Effective: September 19, 2026Last updated: September 19, 2026

1. Who This Policy Applies To

This Privacy Policy explains how VeloxIo, operating Velox ("Velox", "we", "us", or "our"), collects, uses, stores, and shares personal information when you use the Velox website, applications, and related services.

This Policy applies to people who interact with Velox, including:

  • Visitors to our public website
  • Registered Velox users
  • Shooting-sport club members and participants
  • People registering for sessions, training activities, or competitions
  • Club administrators, coaches, and other authorized personnel
  • Representatives of organizations using Velox
  • People who communicate with us about the Service

It applies whether you provide information directly to Velox or that information is entered into Velox by a club or organization using the Service.

2. Velox and Clubs

Velox provides software that clubs and organizations use to manage their activities.

Depending on the circumstances, Velox may process personal information for its own purposes or on behalf of a club using the Service.

For example, Velox determines how information is used when operating user accounts, securing the platform, managing Velox subscriptions, providing technical support, or improving the Service.

A club may separately determine why and how it uses information about its members, applicants, participants, or administrators.

Where a club determines how and why your information is used, questions about that processing may need to be directed to the club itself. Velox will assist clubs with privacy-related requests where appropriate.

Payment-card information may be collected directly by our payment provider, such as Stripe, rather than being stored by Velox.

Where required, non-essential analytics or similar technologies will only be used after the appropriate choice or consent has been provided.

4. Information From Other Sources

Not all information stored in Velox necessarily comes directly from you.

We may receive information from:

  • Clubs and organizations you interact with
  • Club administrators
  • Authentication providers
  • Payment providers
  • Third-party integrations
  • Services connected to Velox at your or a club's request

Clubs and organizations

Information may be shared with a club where necessary to provide membership, registration, attendance, reporting, communication, or other club-related functionality.

We rely on third-party providers to help operate Velox. These may include:

  • Supabase for database, authentication, storage, and related infrastructure
  • Vercel for application hosting and delivery
  • Stripe for payment processing and billing
  • PostHog for product analytics
  • Sentry for application monitoring and error diagnostics

The providers we use may change as Velox develops.

Third-party integrations

If you or an authorized club connects Velox to another service, information may be exchanged with that service as necessary to provide the integration.

Legal and security reasons

We may disclose information where reasonably necessary to comply with law, respond to lawful requests, investigate fraud or security incidents, protect users or others, or establish and defend legal claims.

Business transfers

Personal information may be transferred as part of a merger, acquisition, restructuring, financing, or sale of all or part of Velox, subject to applicable law.

9. International Data Transfers

Velox and our service providers may process personal information in countries other than the country where you live.

Where applicable law requires safeguards for international transfers, we will use appropriate mechanisms intended to protect that information.

10. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including operating the Service, satisfying legal obligations, resolving disputes, maintaining appropriate records, and protecting legal interests.

  • Account information may be retained while an account remains active
  • Transaction information may be retained for accounting, tax, fraud-prevention, or legal purposes
  • Security logs may be retained for security and incident investigation
  • Club records may remain available where the relevant club has a legitimate or legal need to retain them
  • Backups may temporarily retain deleted information before being overwritten
Deleting your Velox account does not necessarily delete information that a club is independently required or permitted to retain.

11. Security

We use technical and organizational measures intended to protect personal information against unauthorized access, alteration, disclosure, loss, or destruction.

  • Access controls
  • Authentication
  • Encryption where appropriate
  • Database access policies
  • Role-based permissions
  • Logging and monitoring
  • Secure infrastructure providers
  • Software and dependency updates
  • Security incident response procedures

No internet-based service can guarantee absolute security. You are also responsible for protecting your account credentials and notifying us if you believe your account has been compromised.

12. Your Privacy Rights

Depending on where you live and the law that applies, you may have rights concerning your personal information.

  • Request access to personal information held about you
  • Request correction of inaccurate information
  • Request deletion in certain circumstances
  • Request restriction of certain processing
  • Object to certain uses of your information
  • Receive certain information in a portable format
  • Withdraw consent where processing is based on consent
  • Complain to an applicable data-protection authority

Not every right applies in every circumstance or jurisdiction.

If Velox processes the relevant information solely on behalf of a club, we may need to work with that club to respond to your request.

13. Account Deletion

Where available, you may request deletion of your Velox account through the Service or by contacting us.

Some information may still be retained where necessary or permitted for legal obligations, fraud prevention, security, financial records, dispute resolution, backup retention, or records independently maintained by a club.

14. Analytics

Velox may use analytics tools to understand how users interact with the Service.

  • Pages and features used
  • Navigation patterns
  • Feature adoption
  • Errors and failed interactions
  • Application performance
  • How users discover Velox

Where required by law, optional analytics will only be enabled after the appropriate consent has been obtained.

15. Error Monitoring and Diagnostics

We may use diagnostic services to identify crashes, errors, and performance problems.

Diagnostic information may include:

  • Browser and device information
  • Operating system
  • Application state
  • Page or route information
  • Error messages
  • Stack traces
  • Network information
  • Performance information
  • Technical identifiers used to correlate events

We configure these services with the intention of minimizing unnecessary personal information.

16. Marketing Communications

If Velox sends optional marketing communications, you may unsubscribe using the mechanism provided in the message or through available account settings.

Unsubscribing from marketing does not prevent us from sending transactional or service-related communications necessary to operate your account.

17. Children

Velox is primarily intended for use in connection with organized shooting-sport activities and club administration.

Some clubs may permit participation by minors subject to applicable law, governing-body rules, parental or guardian involvement, and club requirements.

Where a club processes information relating to a minor through Velox, that club is responsible for ensuring that it has an appropriate legal basis and any required parental or guardian authorization.

18. Automated Administrative Processes

Velox may automate administrative processes such as:

  • Calculating waitlist positions
  • Promoting participants when places become available
  • Determining session availability
  • Generating notifications
  • Applying rules configured by a club

These functions generally automate operational rules rather than independently making legal or similarly significant decisions about an individual.

19. Third-Party Links and Services

Velox may contain links to or integrations with services operated by third parties.

Their privacy practices are governed by their own policies. You should review the privacy information provided by those services before providing personal information to them.

20. Changes to This Privacy Policy

We may update this Privacy Policy as Velox develops or where our legal, technical, or operational practices change.

The current version will display its effective and last-updated dates. If we make material changes, we may provide additional notice through the Service, by email, or another appropriate method where required.

21. Regulatory Complaints

If you have concerns about how we process your personal information, we encourage you to contact us so we can investigate the issue.

You may also have the right to submit a complaint to the data-protection authority applicable to you.

For example, users in Israel may contact the Israeli Privacy Protection Authority, while users in the United Kingdom may have the right to complain to the Information Commissioner's Office.
